01The brief
A home care agency places people in other people's homes and answers around the clock. The moment that makes or breaks it comes early in the morning, when a caregiver says she can't make it and an older adult is about to be alone. Finding a replacement means knowing who covers that area, whose paperwork is up to date and who isn't coming off another shift without rest. Today that runs on memory, spreadsheets and twenty phone calls.
02The approach
We designed and built the product around that moment. The schedule is the home screen, and everything else (patient files, caregiver records, payroll, family billing, enquiries) exists to feed it. Marking an absence ranks the whole staff by area, whether they already know the patient, rest between shifts and declared availability. Expired documents take a caregiver out of the candidates unless there is a signed, dated exception. Legal pay scales live in tables with their effective date and their source, so each month is paid with that month's scale.
03The outcome
A complete, working product: schedule, replacement engine, patient and caregiver files, payroll ready to load into the tax agency, family billing, a CRM that follows each enquiry from the ad to the signed contract, and private portals for caregivers and families with no account to create. The screens shown here come from a fully fictional demo company, Casa Tilo.
